Sales and Settlement Coordinator – Bethany Beach, DE

Job Summary:
Administrative management of the Eastern Shore/Maryland Division Sales Department
Responsibilities include:

SALES ADMINISTRATION:
• Support overall Sales functions and Sales Managers;
• Oversee administrative process for the sale of a home;
• Support sales managers in ensuring sales contracts are complete and accurate and all
information is included and updated in proprietary software;
• Support sales managers in ensuring addendums are complete and accurate and all
information is updated in proprietary software;
• Contract filing;
• Manage new home contract folders, including folder initiation, assembly, record keeping,
maintenance and archival (digital & physical);
• PCO & Settlement letters to homeowner;

CLOSING COORDINATION:
• Coordinate the execution of Sales Contracts and Amendments;
• Liaison to Settlement companies for documents and financials;
• Manage the scheduling of customer walks and home closings;
• Ensure all impediments to Closing are addressed;
• Deliver closing materials to settlements as necessary;
• Ensure closings happen on time/as scheduled.

DOCUSIGN ADMINISTRATION:
• Administrative management of Docusign account;
• Sending, tracking and receiving documents through Docusign.

PROPRIETARY SOFTWARE:
• Learn all levels of the software and utilize the program to the fullest capacity
• Support sales team in software training and education

CONTRACT SETUP:
• Coordinate the setup of sales contracts in proprietary software for new communities;
• Manage contract information, and change data when necessary.

HOA ADMINISTRATION:
• Assistance with creation of HOA documents; facilitating documents between Evergreene

Homes and the attorney;
• Obtaining bids for and assisting with creation of HOA Budgets;
• Follow up with Community Managers;
• Assistance with creation and distribution of Disclosure Documents.
